Presentation Overview:

Goal: Reduce government penalties to retain contracts.
-
Focus Areas: Scaling, DDR numbers, documentation, communication, customer service, TTGs/SIT/SIV, HUDA contact.
Scaling:
-
Required for: Government shipments over 7,000 lbs, corporate orders.
-
Rescale if: No origin scale, >10% weight variance, >20,000 lbs, or requested by shipper/government.

Rules: Use gov-approved scale within 50 miles, full fuel tanks, same scale for light/heavyweight, lightweight 24h before loading, heavyweight 24h after.

Scaling penalties are costly: failure to follow procedures can lose 3% of contracts.
Weights & Standard Lists:

Shipments under 7,000 lbs follow standard weight lists.
-
Include sizes and weights for all items; incomplete info defaults to lightest weight.
DDR Numbers:
-
Required for DND & CRS shipments, not yet RCMP.
-
Drivers contact destination agent; keep Atlas operations in CC.
-
Advanced DDR for weekend deliveries must be obtained Friday prior.
-
Missing DDR can result in severe penalties.
Documentation:
-
Mandatory: Bill of Lading, inventories, pack/unpack reports, damage/loss reports, high-value items inventory, additional services POD, signatures at origin & destination.

Scan all documents within 10 days (48h for vault/third-party trailers).

Proper paperwork prevents penalties and claims.
Customer Communication & Service:

Contact shipper 24h before loading/unloading; earlier is better.
-
Report delays >1h to shipper & operations.

Walkthrough with shipper & labor ensures clarity.
-
Maintain professionalism, hygiene, and safety; avoid badmouthing, inappropriate behavior, or smoking near shipper’s home.

Watch for pets and other hazards.
TTGs / GTTs:
-
Guaranteed Transit Time: shipments must arrive within window, even if going into SIT.
-
Notify government of delays ASAP to avoid penalties.
-
Extensions possible for justified issues (road closures, breakdowns, weather).
SIT & CIV:
-
Shipment must be at destination within TTG.
-
Request SIT/CIV once at destination; max SIT = 30 days, CIV = 5 days.
-
DDR numbers still required for SIT/CRS.
Communication:
-
Keep government/base informed: survey times, preloads, parking, shuttles.
-
Proactive communication prevents penalties and ensures reimbursement.
