This overview provides guidance on scaling shipments for Federal Government moves, detailing requirements, timing, and documentation standards to ensure compliance and avoid penalties.

Purpose:
Ensure accurate shipment weights for billing, reporting, and government compliance while minimizing delays or penalties.

1. When Scaling is Required:

  • Shipments ≤ 7,000 lb: Scaling is not required; use the Government Approved Standard Weight List (SWL) to estimate.

  • Shipments > 7,000 lb: Must be scaled within a 50-mile radius of the origin residence.

    • Use the Atlas Scale Directory to locate approved scales.

    • Some scales may require prior approval before use.

2. Timing Requirements:

  • Lightweight: Obtain no more than 24 hours before loading.

  • Heavyweight: Obtain within 24 hours after loading.

  • Both light and heavy weights must be obtained from the same scale.

  • If heavy weight cannot be obtained on a Saturday, contact Atlas Operations immediately.

3. Weighing Procedure Requirements:

  • Fuel tanks must be full at the time of weighing.

  • No one should be inside the vehicle during scaling.

  • Documentation:

    • Keep fuel receipts and scale tickets.

    • Scale tickets must be legible and signed by the scale master.

    • Provide copies to Atlas Financial Services if required.

4. Reweigh Requirements:
Reweigh at destination if:

  • Net weight exceeds 110% of estimate.

  • Shipment scales over 20,000 lb.

  • Government specifically requests a reweigh.

5. Penalties:
Non-compliance may result in:

  • $1,500 fine.

  • Three-point penalty.

6. Support:
For questions or assistance, contact Atlas Operations.

Key Takeaway:
Proper scaling ensures accurate billing, compliance with government regulations, and protects both the contractor and the shipper from penalties.
